Role Purpose & Scope

To ensure the smooth planning, coordination, storage, movement, and dispatch of goods and materials, with clear ownership of day-to-day import and export logistics.

The role is responsible for:

  • Coordinating international shipments
  • Preparing and maintaining compliant import/export documentation
  • Liaising with freight forwarders and customs brokers
  • Ensuring correct application of Incoterms, commodity codes, duties and VAT treatment
  • Supporting project delivery through accurate logistics administration and effective communication with internal teams and external partners

Key Responsibilities

Logistics & Coordination
  • Prepare and issue site packs and installation documentation to teams
  • Ensure dispatch notes are signed, scanned, and stored correctly
  • Generate KPIs and update logistics progress sheets
  • Order logistics and installation materials such as fixings, coatings, and outsourced items
  • Work closely with Site Coordination, Contract Managers, and stakeholders
  • Communicate with storage providers and transport companies
  • Attend logistics and installation meetings
Import & Export Compliance
  • Manage day-to-day import and export movements for overseas goods
  • Prepare and maintain import/export documentation including:
    • Commercial invoices
    • Packing lists
    • Customs entries
    • Proof of export
  • Liaise with freight forwarders, customs brokers, and hauliers
  • Resolve customs queries, delays, and documentation discrepancies
  • Ensure correct use of:
    • Incoterms
    • Commodity codes
    • Duties
    • VAT treatments
  • Maintain accurate records to meet HMRC and audit requirements
  • Act as the first point of contact for import/export queries
Planning & Scheduling
  • Maintain production planning sheets and installation schedules
  • Liaise daily with suppliers regarding production and transport timelines
  • Coordinate movements between factory and storage facilities
  • Support loading plans and building sequence drawings when required

Storage & Inventory

  • Assist with storage planning and goods location tracking
  • Maintain accurate stock movement records
  • Update internal systems with dispatch and storage information
Problem Solving
  • Review logistics and installation issues
  • Escalate recurring problems where necessary
  • Support tracking of outstanding works and snagging items
Health, Safety & Compliance
  • Follow all Health, Safety & Environmental procedures
  • Ensure compliance with company policies and procedures
  • Respond promptly to emails and communications

Skills, Knowledge, Qualifications & Experience

Essential Requirements
  • Full UK Driving License
  • CSCS Card
  • Minimum 2 years’ experience in:
    • Warehousing
    • Storage
    • Transport administration
    • Import and export operations
  • Strong organisational and time management skills
  • Problem-solving and decision-making ability
  • Good analytical and numeracy skills
  • Strong IT skills including:
    • MS Office
    • Accounting software
    • Planning software
  • Excellent communication and interpersonal skills
